How to Buy Custom Furniture in India — The Complete Guide

Buying custom furniture in India is unlike buying anything else. There is no rating site, no real warranty culture, and the gap between the best and worst manufacturers is enormous. Most buyers learn the hard way — usually on their first villa or first major renovation. This guide is the complete walkthrough we wish every customer had before they placed their first order. Follow it and you'll avoid the seven-figure mistakes that take Indian buyers down every year.

Start with the brief, not the catalogue

The single biggest mistake first-time buyers make is starting from a catalogue. You see a bed you like, you ask for a quote, you buy it — and then realise the dimensions don't fit your room, the wood doesn't match the rest of the house, or the storage configuration is wrong for your life. Reverse the process.

Start from the room. Measure every space. List how it's actually used. Decide the design language (modern, traditional, transitional). Decide the wood species (teak, rosewood, mixed). Decide the budget range. Only then ask for designs and quotes — and ask for designs against your brief, not against the manufacturer's stock catalogue.

Manufacturer vs retailer — the structural difference

A manufacturer makes the furniture. A retailer sources it from manufacturers and resells. Showrooms and most online furniture brands are retailers, even when they call themselves 'brands' or 'studios'. The mark-up runs 60–100% on top of factory-direct pricing.

The trade-off: retailers carry inventory and let you walk away with furniture today. Manufacturers build to order and take 6–10 weeks. For high-value custom furniture, the lead time is worth the savings and the customisation. For low-value commodity items, retailers are fine.

The 8 questions every quote should answer

Ask every manufacturer the same questions and compare answers in writing. (1) Exact species, origin, grade and moisture content of the wood. (2) Joinery technique (mortise-and-tenon, dowels, KD fittings). (3) Hardware brand and origin (Hettich, Hafele, Blum, generic). (4) Polish type and method (French, melamine, PU; hand or spray). (5) Lead time from PO to delivery.

(6) Who does delivery and installation — the manufacturer's own team or a third-party logistics provider. (7) Warranty terms in writing on the invoice. (8) Site visit, measurement and CAD drawing included or extra. A quote that answers all eight specifically is comparable. A quote that hand-waves any of them is not.

Site visit, measurement and CAD

A genuine custom furniture order starts with a site visit. The manufacturer's team comes to your home, measures every room, photographs existing finishes for colour matching, and prepares CAD drawings before quoting.

If a manufacturer quotes off rough dimensions you provide over WhatsApp, the piece will fit roughly. For a built-in wardrobe or a wall-spanning TV unit, 'roughly' means visible gaps and trim work that should not be needed. Insist on a site visit.

Payment terms — what's normal

Standard custom furniture payment terms in India: 40–50% advance to start production, 40–50% on completion at the factory (before dispatch), 10% on final installation and walkthrough. Anyone asking for 100% upfront is taking a risk you should not take.

Pay against an invoice (with GST), not against a verbal quote. Keep all payment records. Pay by bank transfer or cheque, not cash — for legal protection and warranty enforceability. We accept only invoice-based payments by default.

Factory visit — the underrated step

Before placing a six- or seven-figure order, visit the factory. Look at work-in-progress pieces. Inspect their wood storage and seasoning. Watch the joinery being cut. Talk to the craftsmen. A reputable manufacturer welcomes factory visits and arranges them on request.

If a 'manufacturer' has no factory you can visit, they are likely a reseller fronting as a brand. Walk away. The 6–8 hour round trip to the actual workshop is the single highest-ROI hour of your project.

Delivery, installation and on-site polish

Delivery and installation should be done by the manufacturer's own trained team, with one supervisor on site for the duration of installation. On-site polish touch-up for any transport scuffs should be included.

Walk through every piece with the installation supervisor before signing off. Open every drawer, check every hinge, run your hand across every polished surface. Anything that's not right should be fixed before the team leaves. This is much harder to enforce after.

Warranty — what real warranty looks like

A real custom furniture warranty covers structural and joinery defects for at least 10 years, in writing on the invoice itself. Polish wear and tear is normally separate (French polish refreshes every 5–10 years are a maintenance item, not a defect).

The warranty must specify who pays for transport in case of a claim, the response time, and whether replacement parts will be in the original wood species. We include all of this in writing on every order.

Red flags — when to walk away

Walk away from: anyone who won't tell you the species, origin and grade of the wood; anyone who quotes 'teak wood' without specifics; anyone who refuses a factory visit; anyone asking for 100% upfront; anyone who can't show you completed projects of similar scale; anyone whose warranty is verbal or 'will be discussed later'.

These are not exotic edge cases — they are the defining behaviours of the operators who cause the horror stories you read on consumer forums every week. The good manufacturers welcome every one of these questions.
